Retiring and Discontinuing Products

When a product is no longer offered by a supplier, it should be retired rather than deleted. Retiring a product preserves historical order data while preventing it from appearing with your active supplier.

Before retiring a product, always check whether it is assigned to any upcoming events.

Step 1: Remove the Product from Upcoming Events

  1. Open the Event.
  2. Select Products.
  3. Use the Supplier filter to display products from the appropriate supplier.
  4. Click Search.
  5. Locate the product you want to retire.
  6. Remove the product by either:
    • Clicking Remove next to an individual product, or
    • Selecting multiple products using the checkboxes and clicking Remove Selected Products.

If the Remove Button Is Not Available

If you do not see the Remove button, the product has either been included in an order or added to an exhibitor's shopping cart.

In this case, leave the product assigned to the event until the event has concluded. If you need to prevent additional purchases, unpublish the product from the storefront instead of retiring it immediately.

Step 2: Locate Your Discontinued Supplier

  1. Navigate to Main Suppliers.
  2. Search for and open the supplier that currently owns the product.
  3. Select the Products tab.

Most organizations maintain a supplier specifically for retired products, typically named something like Discontinued or Do Not Use.

If you cannot find this supplier:

  1. Return to the Main Suppliers list.
  2. Change the Status filter to All.
  3. Locate the discontinued supplier.
  4. Click Edit.
  5. Change the supplier's status to Active.
  6. Click Save and close the supplier.

Step 3: Move the Product to the Discontinued Supplier

  1. Return to the original supplier's Products tab.
  2. Locate the product you want to retire.
  3. Click Edit.
  4. In the Supplier field, click Search.
  5. Search for your discontinued supplier.
  6. Click Apply Criteria.
  7. Move the discontinued supplier to the selected list by double-clicking it or using the arrow.
  8. Click Apply Selection.
  9. Verify that the Supplier field has been updated.
  10. Click Save & Close.

The product has now been moved to the discontinued supplier and will no longer appear under the active supplier.

Step 4: Return the Discontinued Supplier to Inactive

After you have finished moving products, we recommend changing the discontinued supplier back to Inactive. This helps prevent it from being selected accidentally in the future.

Products with Existing Orders or Shopping Carts

Products that have already been ordered or are currently in an exhibitor's shopping cart should remain with the active supplier until the event has concluded.

Waiting until the event has passed helps ensure the product continues to appear correctly in event reporting.

If you need to stop additional purchases before the event is over, unpublish the product from the storefront and retire it after the event has concluded.

Best Practices

  • Remove discontinued products from future events before retiring them.
  • Use a dedicated Discontinued or Do Not Use supplier for retired products.
  • Keep the discontinued supplier Inactive when it is not being used.
  • Unpublish products that are still tied to an active event if you need to prevent additional purchases.
  • Wait until an event has concluded before retiring products that have already been ordered.
