One of the most common questions when managing exhibitor orders in Boomer is how to create an order for a third party or an Exhibitor Appointed Contractor (EAC).
A third party or EAC order is created on behalf of an exhibiting company, but the third party or EAC remains the Order Contact. The key is to always start the order from the third party or EAC and then change the Exhibiting Company during Step 1 of the order.
Important: Always start a third party or EAC order from the third party or EAC contact. You will change the Exhibiting Company to the exhibitor they are ordering on behalf of while creating the order.
Step 1: Open the Appropriate Event
- Click the Events main tab.
- Find the appropriate event in the Events grid. If you cannot find the event, use the yellow search bar.
- Click to open the event.
Step 2: Find or Add the Third Party or EAC
In the event's Exhibitors grid, confirm that the third party company, EAC, or Exhibitor Appointed Contractor is listed as a customer for the event.
If the third party or EAC is already listed in the Exhibitors grid, open the company by double-clicking the appropriate row.
If the third party or EAC is not listed in the event, you can:
- Click Add New Exhibitor to add the third party company and contact to the event, or
- Associate an existing third party company, exhibitor, or EAC that is already in your Boomer system with the event.
If you are creating a new third party company record, click Save after entering the company information.
Step 3: Add the Third Party or EAC Contact
After creating or opening the third party company record, add the person who will be placing the order as a contact under that company.
- Click Contacts in the left-hand navigation menu.
- Add the third party or EAC contact's information.
- Click Save.
Step 4: Start the Order from the Third Party or EAC
Open the third party or EAC contact who will be placing the order.
From the contact record, click Add New Order.
The third party or EAC company will initially appear as the Exhibiting Company. This is expected. In the next step, you will change the Exhibiting Company to the actual exhibitor the third party is ordering on behalf of.
Step 5: Change the Exhibiting Company
- In Step 1 of the order, locate the Exhibiting Company field.
- Click the ellipsis button (...) next to the Exhibiting Company field to open the company Picklist.
- Enter part of the exhibitor's company name in the Name field.
- Click Apply Criteria. The matching exhibitor will appear on the left side of the Picklist.
- Double-click the exhibitor or click the >> arrow to move the exhibitor to the right side of the Picklist.
- Click Apply Selection.
Boomer will display a message confirming that you are changing the Exhibiting Company and asking whether this is a third party/EAC order.
Click Yes.
The Exhibiting Company will now display the actual exhibitor receiving the products or services, while the Order Contact remains the third party or EAC contact who is placing the order.
Step 6: Choose Whether the Exhibitor Can See the Order
After confirming the third party/EAC order, an additional checkbox appears because the Order Contact's company is different from the Exhibiting Company.
Check this box if you want the exhibiting company's main contacts to see the order when they log into the exhibitor storefront and view their orders.
Leave the box unchecked if the order should only be visible to the third party or EAC contact who placed it.
This option is turned off by default. Some third parties or EACs may not want the exhibiting company to see the order because they may mark up pricing, make adjustments, or manage billing separately.
Step 7: Complete the Order
Confirm that the Order Contact remains the third party or EAC contact who is placing the order.
Click Next and continue creating the order as you normally would:
- Add the appropriate products or services.
- Continue through the order details.
- Enter payment information.
- Complete checkout.
For additional information about the standard order creation process, see Creating an Order.
Remember: When creating an order for a third party, EAC, Exhibitor Appointed Contractor, decorator, or other company ordering on behalf of an exhibitor, start the order under the third party or EAC contact first, and then change the Exhibiting Company to the actual exhibitor.
