Tax and Gratuity Schedules

Tax and gratuity schedules allow various taxes or gratuities to be grouped together and then applied to revenue types that have been defined for the system. Products which are associated to those revenue types then "take on" those tax and gratuity schedules. The goal is to provide general tax and gratuity structures that can be used by each store with flexibility that assumes there might be different percentages for those structures.

Tax Schedules

Each tax schedule can contain any number of tax types. The taxes types are applied in the order they are listed in the grid. Tax schedules have effective dates which allow for changes in tax rates over time. The tax schedule and tax types are displayed in two separate grids:

Add a Tax Schedule

  1. Click "Add New" in the tax schedule (grid on the left hand side).
  2. Fill out the fields based on the descriptions below.
  3. Hit "Save".

The following fields are available for each tax schedule:

Field Name Description
Name

The name of the tax schedule.

Display Order

The order to display the tax schedule in the grid.

Add a Tax Rule to a Schedule

Tax schedules are made up of tax rules.  To add a tax rule:

  1. Highlight the tax schedule to which the tax rule should be added in the grid on the left hand side.
  2. Click "Add New" in the tax Rule grid (on the right hand side).
  3. Fill out the fields based on the descriptions below.
  4. Hit "Save".

Tax rules contain the following fields:

Field Name Description
Name

Rule name. This is the name that will appear in an order's sub totals and grand total.

Tax %

The percent tax for the tax type.

Start

Beginning date the tax schedule is in effect.

End

Ending date the tax schedule is in effect.

Limit Amount $

This value supports a limit on total taxes collected for a given revenue type. 

Tax Map

This is used for Boomer's accounting integration with QuickBooks Desktop and Sage.  Telling Stone will advise you on what should be in this field if necessary.

Display Order

The order in which the tax will be applied to the revenue type.

If a tax schedule is in use, it may not be deleted.

Change a Tax Rate

If a tax rate changes, you will need to update the defined tax schedule to impact only the new dates.

Limits on Taxes Collected

There may be an occasion where there is a limit on the total taxes you should collect for a given tax.  For example, Florida has a discretionary tax you must collect in certain counties up to $5,000 (see their Florida revenue web site for more details:  https://floridarevenue.com/taxes/taxesfees/Pages/discretionary.aspx).  When this configuration is required, you can set up one tax for the state tax which does not have a limit, and then a county tax with a limit that does.  Below is an example of the two taxes (one for FL state, one for Dade County) and then the limit of the amount.

Gratuity Schedules

Gratuity schedules behave the same way the tax schedules do.  A gratuity could be just that - a gratuity, or any type of service charge that should be automatically calculated on one or more revenue types.  As with taxes, each gratuity schedule may have an unlimited number of gratuity types, each applied in the order in which they appear:

Gratuity schedules are made up of gratuity rules.  To add a gratuity rule:

  1. Highlight the tax schedule to which the gratuity rule should be added in the grid on the left hand side.
  2. Click "Add New" in the gratuity rule grid (on the right hand side).
  3. Fill out the fields based on the descriptions below.
  4. Hit "Save".

Gratuity Name The name of the gratuity rate.
Gratuity Percentage The percent tax for the gratuity type.
Gratuity Tax Percentage The amount of tax to be applied to the gratuity.
Start Beginning date the gratuity schedule is in effect.
End Ending date the gratuity schedule is in effect.
Display Order The order of the gratuity rule.
