Applying Visibility Security to Reports

There may be an occasion where users should only see certain reports that the system can generate.  For example, a third party supplier who logs in should not have access to run full event revenue reports.  The following documentation provides instructions on how to manage report visibility security.

The Reports Security Role Setting

Each security role (see Store Security Roles for more information on defining security roles) has a setting at the very bottom called Reports. When a user belongs to a security group whose Reports setting is set to "Where my security role is linked", then that user will only see the reports for which access to that security role has been granted.  If the user's security role "Reports" setting is set to "All", then that user will see all reports regardless of how the security setting in the report is configured. 

Granting Report Access to Security Role(s)

In order to grant security access to a report, the logged in user must have rights to do so.  To grant report access to a security role:

  1. Click on the Reports tab in the main menu.
  2. Find the desired report for which you want to assign security and click the "Security" menu option.
  3. Check all security roles that should have access to this report.
  4. Click Save/Close.
